Use one comparison period and one duty profile
Set the same fleet quantity, operating days, routes, passenger loads and charging opportunities for both proposals. Choose a planning period that matches your procurement needs. Separate measured fleet records from supplier estimates. If the proposals assume different daily use or replacement schedules, reconcile those assumptions before comparing totals.
Include the whole conversion package
For a proposed LiFePO4 configuration, request separate prices for the battery, approved charger, mounting hardware, interfaces, display and installation where applicable. Include commissioning and staff handover. For the existing configuration, capture equivalent replacement and service costs. A battery-only quotation and an installed conversion quotation are not directly comparable.
Build the cost comparison from identifiable items

Keep uncertain items visible rather than hiding them inside a single savings percentage. A useful worksheet records the source, date and assumption for each line. Ask the supplier to clarify whether labour, taxes and shipping are included in each quoted amount.
Test the assumptions that drive the result
If the business case depends on completing an extra shift, assess that requirement in a representative vehicle trial. If it depends on reduced service time, compare the required maintenance activities and your actual labour records. Do not convert an advertised cycle-life figure directly into a guaranteed number of calendar years. Request the applicable test conditions and warranty terms separately.
Compare support as part of the purchase
Identify who will handle service in your market, how a fault is reported and what happens while a claim is being assessed. Ask which records must be retained. Review the written warranty attached to the quotation, including exclusions and responsibility for transport or labour. A long headline warranty is not a substitute for clear service terms.
